Terms of Service
Version 1 · 24 October 2026
Draft: awaiting legal review.
These terms are an agreement between Busyworks Unipessoal Lda. (NIF PT515062650), Rua Castilho 32, 4.º, 1250-070 Lisboa, Portugal ("Busyworks", "we") and the business that creates a company in Papodee ("you"). The person who signs up confirms they may accept them for that business. Papodee is for businesses, not for consumers.
1. The service
Papodee is an online inbox for customer conversations on WhatsApp, email and website chat, with an optional AI assistant that answers from the knowledge you give it and hands over to your team. We may improve and change features; if we remove something you rely on, we will tell you in advance where we reasonably can.
2. Your account
- Keep sign-in details safe and only invite people who work for you. You are responsible for what happens in your company's account.
- Information you give us (company name, billing details, VAT number) must be correct.
3. Price, AI credit and payment
- Using Papodee is free unless your plan says otherwise. The AI assistant's answers use prepaid AI credit, at the rates in your pricing plan shown in Papodee. Prices exclude VAT, which is added where it applies.
- You buy credit by card through Stripe. Credit is added when the payment is confirmed, does not expire while your account is open, and can't be exchanged for cash. Unused credit is not refundable, except where the law requires it or we close the service.
- When credit runs out, the AI stops answering and new conversations go to your team; we warn you by email before that.
- WhatsApp messages that Meta charges for are billed by Meta to your own WhatsApp Business account, under Meta's terms.
- We may change rates for the future with at least 30 days' notice; credit already bought keeps its value in euros.
4. Acceptable use
You must not use Papodee to send spam or unsolicited messages, break the law, infringe others' rights, or send content that is harmful, deceptive or illegal. On WhatsApp you must follow Meta's WhatsApp Business Policy and Commerce Policy, including having the permission you need to message your customers. We may suspend use that breaks these rules or puts the service or others at risk, and will tell you why.
5. The AI assistant
The AI writes answers automatically from the knowledge and instructions you provide. It can make mistakes. You decide whether to use it, what it knows and when it hands over, and you are responsible for the answers sent in your name. Don't rely on it for medical, legal, financial or safety-critical advice. We don't use your data to train AI models.
6. Your data
Your conversations, contacts and knowledge belong to you. We process them only to provide Papodee and on your instructions, as described in the Privacy Policy. For personal data in them, you are the controller and Busyworks is your processor; section 10 sets out the terms required by GDPR Article 28.
7. Availability
We work to keep Papodee running and secure, but it is provided "as is", without a guarantee of uninterrupted service. Messages depend on third parties (Meta, email providers, AI providers) that we don't control.
8. Liability
Neither party is liable for indirect or consequential loss, such as lost profit or lost business. Busyworks' total liability in any 12 months is limited to the amounts you paid us in those 12 months, or €100 if that is more. Nothing in these terms limits liability that the law does not allow to be limited, such as for fraud or wilful misconduct.
9. Ending the agreement
You may close your company's account at any time through the contact form or by letter to the address above. We may end it with 30 days' notice, or straight away for a serious breach of these terms. After closure we delete your data as the Privacy Policy describes; ask us before closing if you want an export.
10. Data processing terms (GDPR Article 28)
When Busyworks processes personal data for you in Papodee:
- Subject and purpose: running your support inbox, the AI assistant and alerts, for as long as your account is open. Data: your customers' contact details, messages, attachments, notes and knowledge. People: your customers, contacts and team.
- We process it only on your documented instructions (these terms and your settings in Papodee), unless the law requires otherwise, in which case we tell you first where allowed.
- Everyone at Busyworks with access is bound to confidentiality.
- We keep appropriate security measures (Privacy Policy, section 6).
- You authorise the sub-processors listed in the Privacy Policy. We will tell you before adding or replacing one, and you may object; if we can't resolve it, you may close your account.
- We help you answer requests from people exercising their rights, and with security, breach notifications and impact assessments, as far as Papodee's role allows.
- We tell you without undue delay, and within 48 hours of becoming aware, of a personal data breach affecting your data.
- At the end of the service we delete your personal data (or return it if you ask before closing), unless the law requires us to keep it.
- We give you the information you need to show compliance and allow reasonable audits, with notice and at your cost.
- Transfers outside the EU are covered by the safeguards described in the Privacy Policy.
11. Changes to these terms
We may update these terms. We will tell you by email and in Papodee at least 30 days before important changes apply; if you don't agree, you may close your account before then.
12. Law and courts
These terms are governed by Portuguese law. The courts of Lisbon have jurisdiction, unless the law says otherwise.
